Google Workspace Custom Template Gallery Example

In this post we will show you how to set up a custom template gallery in Google Workspace for your business.

Do you find yourself repeatedly copying the same pre-formatted document templates over and over? Don’t worry, you’re not alone! Did you know however, that there is a built in feature to make this task easier and more streamlined? In this post we will show you how to set up a custom template gallery in Google Workspace for your business.

Google Workspaces built in productivity suite allows formatted files for Docs, Sheets, Slides, Forms and Sites, these can be easily added to your custom template gallery so that all of your employees can easily make copies of them. 

Note: You must be an admin with Drive and Docs privileges to set up a custom template gallery in Google Workspace. 

This feature is available for the following Google Workspace editions: Business Standard and Plus; Enterprise; Education Fundamentals, Standard, Teaching and Learning Upgrade, and Plus; Nonprofits; G Suite Basic and Business; Essentials.

How To Enable Custom Google Workspace Templates: 

Enabling the custom Google Workspace template gallery is as simple as changing a setting within the admin console:

  1. Log in to your Google Workspace Admin Console (visit admin.google.com
  2. Navigate to Drive and Docs > Templates

Within this settings area you can select “Submission Settings” to choose between “Open”, “Moderated” or “Restricted” Google Workspace templates.

Selecting “Restricted” will disable the custom template gallery functionality altogether, whilst “Open” will allow anyone within your business to submit templates to your template gallery. 

Selecting “Moderated” is the same as “Open”, except admins will need to approve each template submission before it will appear in the template gallery. 

How To Enable Custom Categories In The Google Workspace Template Gallery: 

One of the handiest features of the template gallery in our opinion, is the ability to add custom categories for your business. 

To do so, within the same template settings section of the admin console outlined above, select “Template Settings”. You can then add in whichever categories you would like, we recommend setting up a category for each business department.
